Frequently Asked Questions

Live Here. Live Connected.

Welcome to your Cottage Row Stillwater resident FAQ — a helpful guide designed to answer the most common questions about living in our community. Whether you’re settling in, paying monthly installments, handling maintenance, or planning ahead for move-out, this FAQ covers the essentials to support your experience here.

General

The main OSU campus parking lot is about a 9 minute drive. Most residents drive, and plenty take our private shuttle, which drops you off closer to class than most parking spots.

Yes! We're the only community in Stillwater with our own private shuttle, run by Green Way Shuttles. It loops from Cottage Row to the Student Union, then the Colvin, and back, with pickups every 40 minutes.

  • Weekdays: 7:00 AM to 6:20 PM
  • Weekends: runs to the Strip from 10:30 PM to 2:30 AM

You'll need your shuttle pass to ride, and you get it at move-in. It saves you the OSU parking pass and the hunt for a spot. The city's Big Orange Bus also stops about half a mile south of the property.

We'd love to show you around! Walk in anytime during office hours to tour our model home and the clubhouse. Can't make it in person? We do virtual tours on Microsoft Teams, and there's a 3D tour of the model home and clubhouse on apartments.com. We don't offer self-guided tours.

Call our office (405) 817-5716 or send us an email. A team member will reach out within 24 hours.

Leasing &
application

No. Every bedroom is private, with its own bathroom, and we don't allow double occupancy.

No, but you may relet your apartment by finding a new resident who must pass our screening and sign a new lease.

No. We only offer 12-month leases that run August to July, and we don't have summer or short-term options.

Yes! All applicants who meet our qualifying criteria are welcome.

Typically 24-48 hours, depending on how quickly your guarantor submits their application.

Most applicants require a guarantor, aside from any student loans, to meet the income requirement and ensure you can make the monthly installment payments. If you do not have a guarantor, you can either try to self-qualify using your own income or apply to use a third-party guarantor service.

Please contact the onsite team for information about our third-party guarantor service.

In order to guarantee your bed space, we will need a signed lease agreement. Leases are generated once your application is complete, and your screening has been approved.

Click "Apply Now," select a lease term and floor plan, and complete the online application. If applying with roommates, ensure you all select the same floor plan.

Each resident signs an individual lease and is only responsible for their portion of rent.

How
to apply

Start by selecting your lease term and floor plan. If you already have future roommates in mind, make sure everyone selects the same floor plan when applying. You'll then create an account, which you'll use for your application, online lease signing, and future Resident Portal access. Your login also saves your progress, so you can log back in anytime to complete your application or check its status.

Once your floor plan and lease term are set, you can add pets or renter's insurance to your application. Parking at Cottage Row is free, so there's nothing to reserve. Renter's insurance is required, and if you don't have your own policy, we offer a low-cost option you can add to your lease.

Next, you’ll fill in your contact details, current address, and other key information, like vehicle details or pet registration (if applicable). You’ll also need to upload a copy of your ID—this helps prevent fraud and ensures a smooth check-in process when you pick up your keys.

This short questionnaire helps us get to know you better! It provides insight into your academic focus, study habits, and social preferences, which helps us plan community events and assist with roommate matching if you don’t already have a roommate in mind.

Most residents will need a guarantor—a co-signer who helps meet income qualifications. You’ll provide their name and email in the application, and they’ll complete their portion separately. If you plan to qualify with your own income, you’ll enter your employment details and upload income verification (note: student loans cannot be used as proof of income).

Lastly, we’ll ask for an emergency contact—someone we can reach out to if needed. You’ll provide their name, contact information, and confirm whether they have authorized access to your unit in case of an emergency.

Once you’ve completed these steps, you’re all set! 🎉 Our team will review your application and reach out with next steps.

Rent,
payments
& fees

No, there's no security deposit. Any move-out charges are based only on the condition of your home when you move out.

Rent is divided into 12 equal installments and due on the 1st of each month. Extra charges like utilities, pet rent and add-ons are billed separately.

  • Bank transfer (eCheck)
  • Debit/credit cards – Fees apply (Visa, Mastercard, Discover, AmEx accepted)
  • Recurring payments – Set up via the Resident Portal
  • PayPal is not accepted

Student loans cannot be used for income verification but may be used to make payments.

Late fees apply starting the 4th of the month. Continued non-payment may result in eviction.

Leases cannot be canceled. However, you may relet your unit. Rent plans are fixed based on your floor plan and bedroom type.

Before you
move in

Yes! You can request roommates in your application or use our roommate matching service, which pairs residents based on study habits, lifestyle, and social preferences.

No, but we consider preferences during placement.

Yes, if roommate mediation doesn’t resolve the issue, transfers may be available depending on same-gender unit availability.

Move-in day is August 7. Booking a move-in time in the resident portal app isn't required, but we highly recommend it.

When you arrive, line up on the right side of Mercury heading west. Our team will be at a tent at the corner of the front gate, going car to car with key packets. Then park right in front of your home to unload.

Your packet includes your front door key, bedroom key, mailbox key, gate clicker, three amenity wristbands and your shuttle pass. We don't offer early move-in.

Living Here

Cottage Row is gated, and you use your gate clicker after office hours. Your front door opens with a key fob, and every home has its own alarm. If you lose your fob, stop by the office for a replacement ($75).

Yes, as long as no permanent damage occurs (e.g., holes larger than a quarter).

Mailboxes are on the west side of the clubhouse, and you get your mailbox key at move-in. Most Amazon and FedEx packages come right to your front door. Oversized or refrigerated deliveries get brought to your home.

Residents must clean their own spaces. Units are inspected quarterly to ensure livable conditions.
